The 2 a.m. problem

The number your team needs shouldn’t live in someone’s phone.

When vendor numbers, after-hours contacts, on-call coverage, and critical phone numbers are scattered across spreadsheets, Outlook, Teams, binders, and personal phones, staff lose time figuring out who to call. Care Roster gives everyone one shared place to look.

Critical numbers get scattered

Pharmacies, DME, facilities, physicians, vendors, and backup contacts end up spread across spreadsheets, Outlook, binders, and personal phones — so finding the right number becomes a scavenger hunt no one wants at 2 a.m.

On-call coverage changes constantly

On-call coverage shifts by day, week, holiday, and one-off exception. Your team doesn’t need last month’s schedule — they need to know who is current, right now.

The EMR isn’t built for this

Your EMR manages patients. It was never meant to manage the operational contacts and coverage around the patient — the vendors, partners, and on-call people your team actually calls to keep care moving.

Old numbers create real friction

Unverified contacts, missing extensions, and outdated vendor numbers slow teams down at exactly the moments when speed matters most — and erode trust in the list everyone shares.

Shared Directory

One shared roster for every contact your agency depends on.

Organizations, the people inside them, and standalone key numbers — from physicians and facilities to vendors, pharmacies, referral partners, community resources, and your own internal staff. Searchable, organized, and easy to call from any device.

Organizations, contacts & key numbers

Every vendor, physician group, facility, and partner — with all the people inside each one. When the primary contact is unavailable, the backup is already in the same record, not tracked down from a separate list.

Search once, call immediately

Find any person, organization, or key number by name, title, category, or tag in seconds. Filter to internal staff or external partners, pin favorites, and keep the contacts you reach for most on a quick-access board.

Tap-to-call & tap-to-email

From a phone in the field, one tap dials the contact — and every number is shown in full, so anyone can read or type it even without a dialer. After-hours and emergency badges make it obvious who answers when the office is closed.

Deep contact & organization detail

Open a contact and everything’s there — titles, departments, every number, email, who they report to, and the organization behind them. Calm, color-coded badges separate category, status, and source at a glance.

Everything in one roster

What your agency keeps in Care Roster.

One operational home for the people, organizations, numbers, and coverage your team relies on — and nothing clinical.

People

Internal staff, clinicians, physicians, managers, and referral contacts — with roles and reporting structure.

Organizations

Vendors, pharmacies, DME, hospitals, facilities, and community partners — each with the people inside.

Key numbers

Answering services, help desks, after-hours lines, and backup numbers — pinned for instant access.

Coverage

On-call rotations, emergency contacts, and escalation paths — always showing who’s covering right now.

Contact Profiles

Open a contact and everything your team needs is right there.

Every number, role, and backup in one place — so when something needs to happen now, nobody is hunting for the right person.

On-Call Coverage

See who’s covering right now — without building every shift by hand.

Create rotating coverage rules once, and Care Roster auto-calculates who’s covering this minute, the next handoff, and the call flow — for administrator-on-call, clinical on-call, and backup.

Live “On Call Now”

See the current administrator, clinical nurse, and backup at a glance — plus the next handoff time. No spreadsheet to cross-reference, no calling someone who “might know” who’s on tonight.

Rotations that auto-cycle

Set an ordered rotation once and it repeats every N days or weeks within your on-call window. Care Roster does the calendar math so coverage is always current — and one-off swaps are a click.

Escalation paths & call flows

Define who to try next for medication issues, DME failures, after-hours questions, and other urgent workflows. When the first contact doesn’t answer, the next person is already lined up.

Printable on-call sheets

Generate a clean daily or weekly on-call sheet for every shift handoff — the exact people covering, ready to hand off or post by the phone, without anyone re-typing a number.

Emergency Access

When something needs to happen now, your team knows exactly who to call.

One calm, clear sheet shows who’s on call this minute, which vendors answer after hours, the call flow to follow, and every emergency contact — so no one is paging through a binder while the clock runs.

  • On call now, pulled live — the current administrator and clinical backup straight from your rotation, never stale
  • Emergency contacts & after-hours resources — the people and providers that actually answer when the office is closed
  • Call flows — a clear call order so a 2 a.m. call never dead-ends at a ringing phone
  • Every number tap-to-call & readable — dial with one tap, or read and type it on any phone
  • Printable emergency sheet — post it by the phone or hand it off at change of shift

Keep It Current

A directory only works if it stays current.

Keeping the roster honest shouldn’t become another project. Care Roster pulls staff from Microsoft 365, imports what you already have, and flags numbers that need a human look — so the list everyone shares stays trustworthy.

Microsoft 365 sync

Optionally sync staff from a Microsoft 365 group so the directory keeps itself current — new people appear, departures drop off — and let your team sign in with their Microsoft account. Everything works without it, too.

Import what you already have

Bring your existing spreadsheet in with a guided CSV template, then keep it clean. Export everything back out any time — your agency owns its data, and it’s never locked in.

Verify the contacts that matter

Mark critical contacts verified on a schedule and Care Roster shows a Verified status — or flags Needs review when a number is overdue, so gaps get fixed before they bite.

Safe by default

Hand-entered contacts are never overwritten by a sync, and a never-delete safety option means sync can add and update without removing anything you didn’t ask it to.

Team Roles

Built for the people who maintain the directory — and the people who just need an answer fast.

Every Care Roster plan includes unlimited users, each with the right level of access. The viewer experience stays clean and fast; the admin experience stays informative.

Viewers — fast lookup

Nurses, coordinators, and field staff search the directory, call with one tap, pin favorites, and jump to the emergency sheet — without the clutter of admin tools or anything they could accidentally change.

Editors — keep it current

Add and edit contacts, mark them verified, pin to quick access, and run the printable reports your team relies on — keeping the shared roster accurate day to day.

Admins — run the system

Manage categories, connect Microsoft 365 sync and sign-in, control who has access, and watch directory health — the full picture of the agency’s operational contacts in one place.

Reports

Printable when your team still needs paper. Searchable when they don’t.

When the office is dark, the Wi-Fi is spotty, or a sheet needs to live by the phone, a focused report library prints every roster and rotation to a clean, dated, ready-to-post operational sheet.

Generate any of these in a click — formatted, dated, and ready to hand off:

  • Full directory
  • On-call & after-hours sheet
  • Emergency contact sheet
  • Category directories
  • Internal staff & external partner sheets
  • Contacts needing verification
  • CSV export of everything

PHI-free by design. Care Roster has no patient fields, no visit records, and no way to link a contact to a patient. This is your operational contact and on-call hub, not a clinical system — built for hospice, home health, senior care, and assisted living teams. Keep patient care details in your EMR; Care Roster holds the people, vendors, and coverage your team calls to support that care.

Pricing

One simple plan for the whole agency.

No per-user pricing. No patient data. No credit card to start. One flat price for your whole team — nurses, coordinators, managers, administrators — each with the right level of access.

Optional add-on

Text your whole staff when minutes matter.

Send urgent, time-sensitive updates by text — coverage changes, weather closures, all-hands notices — to every internal staff member with a mobile. Operational messages only, with opt-outs handled for you. Texting is an annual add-on: choose a plan and lock it in for the year — and upgrade mid-year if your team outgrows it.

Text Messaging
+$250/yr

about $21 a month, billed annually

500 messages a month

  • Text all internal staff at once
  • Work or personal mobiles — your choice

2,000 messages a month

  • Everything in Text Messaging
  • For larger teams or more frequent updates
  • 2,000 messages included every month

Every Care Roster account includes 10 free texts a month to try it out — no plan required. Beyond that, text messaging is an optional annual add-on: pick a plan and lock it in for the year, and if you outgrow it you can upgrade to Plus any time and pay only the prorated difference. A longer text counts as more than one message — you always see the exact count before you send.

No per-user pricing. No patient data. No credit card required. After your free 45-day trial, your plan renews automatically until you cancel. Cancel anytime — your data stays exportable, and a lapsed account becomes read-only, never deleted.

Questions care teams actually ask

Is Care Roster only for hospice?

No. Care Roster is built for care operations broadly — hospice, home health, palliative care, senior care, assisted living, and similar agencies. Anywhere a team relies on a shared list of vendors, facilities, physicians, and on-call coverage to keep care moving, Care Roster fits.

Do we enter patient data?

Never — Care Roster is PHI-free by design. It’s for operational contacts and on-call coverage, not patient records. There are no patient fields anywhere in the product, and free-text fields carry a visible reminder never to enter patient information. Patient care details stay in your EMR; Care Roster holds the vendors, physicians, facilities, and after-hours contacts your team calls to keep care moving.

Can I import what we already have?

Yes. Organizations and contacts import from CSV with a guided template so you can map your existing spreadsheet quickly. You can be running a shared directory the same day you sign up — and you can export everything back out to CSV any time.

Can we sync from Microsoft 365?

Yes, if you’d like — it’s optional. Care Roster can sync contacts from a Microsoft 365 group so the directory stays current automatically, let your team sign in with their Microsoft account, and assign each person’s role (Admin, Editor, or Viewer) from the Microsoft 365 group they’re in. Hand-entered contacts are never overwritten, and email-and-password sign-in keeps working alongside it. Everything in Care Roster works without Microsoft 365 too.

Can different staff have different access?

Yes — access is controlled by role, and every plan includes unlimited users. Admins manage the directory and users. Editors add and edit contacts. Viewers can search and view — perfect for nurses or coordinators who need to look up a number but shouldn’t be changing records.

Can we print directories and on-call sheets?

Yes. Care Roster prints clean, dated operational sheets — the full directory, on-call and after-hours sheets, an emergency contact sheet, category directories, and verification reports — ready to post by the phone, hand off at change of shift, or keep in a binder for when the Wi-Fi is spotty.

What happens after the trial?

If you subscribe at $49.99/mo (or $499.99/yr), nothing changes — you just keep going with your whole team and every feature. If you let the trial lapse, your account becomes read-only: you can still sign in, view contacts, and export your data. Nothing is deleted, and you can activate any time to pick up where you left off.
